Go to Records > Customer Records
Open the desired Customer Record
Click on the Check Call Email tab
To set up the desired check call emails you will need to determine what check calls you want to send to your customer (the 'Notify On' column is circled in Red) and what place the customer holds in the order (circled in Blue: i.e. are they the Customer on the Order or are they the Bill To on the Order). In the example shown in the screen shots below the customer record that is being set up for check call emails will be the Customer on the Order. This customer wants to be emailed when the following Check Calls occur: Original Arrival, Original Pickup, Last Arrival, Last Delivery, and In Transit Email (CE). The customer requires the first 2 reference codes on the order entry on all of the emails that are sent.
In the 'Notify On' column (circled in Red) click on the desired check calls that you want to send out check call emails to your customer.
For each row that you have placed a check mark in the 'Notify On' column, you will need to click in the appropriate 'Customer Record Type' column of boxes (circled in Yellow).
For each row that you have placed check marks in both the 'Notify On' column and the 'Customer Record Type' column, use the drop-down box to select the report name in the 'Format' column (circled in Purple). CC_EMAIL is the basic check call email format that includes the order number, origin and destination locations as well as the check call info. Another form, CC_EMAIL_REF, will also include the first two order reference fields in the email.
Enter the email addresses of all the contacts that need to receive the check call emails (circled in Green). To look up emails from the customer contacts, click on the Contacts icon. A list of all the contacts entered on the Customer Record will be displayed. Double-click on each contact that you want to use. You can also type in the Email Address List field if you want to send it to a different email address that isn't listed in the contacts on the record. To add multiple email addresses you will use the down arrow on your keyboard to open a new line to enter an email address.
If you only want to send emails for orders that have been flagged as Hot, check the Hot Orders Only flag. Leave this flag blank to send emails for all orders.
Click Update to save the setup.
